Prelim – before contacting one vendor!
- Ensure the budget is set & itemised for each vendor
- Decide on your wedding style to ensure you choose a vendor that reflects your look & feel
- Top Priority – are there vendors /components you must have e.g. photographer while video/film could be a maybe
Where to begin:
Reach out to friends /family /venue for their vendor recommendations.
Then search on websites, other venue websites, magazines, social media & blogs. Ensure to go beyond their “Add” or “About Us / Fee” pages and carefully check out real weddings,their products and of course testimonials and reviews. Ask yourself how their style measures up to the wedding you envision?
Blogs are always a good place to check out a vendor’s real work and to get a good sense for their personality.
Draw up a shortlist of 2/ 3 vendors you like in each category and begin the communication. Checking that they are available on your wedding day and getting an initial quote is important to ensure the vendor is within your budget.
Conduct Vendor Meetings:
Set about meeting or having Skype calls with the vendors on your shortlist.
Treat these meetings as professional events. Have your homework done and bring your notes/questions to the meetings. When meeting florists show them your pinterest board /mood boards and imagery so you can ascertain that your look and feel is their style.
In addition to determining whether their work is up to your standard ensure their personality is one which you can work with and want to have around you on your very special day. Remember some of these vendors particularly stationer, florist and décor team you will spend substantial amount of time with planning your special day.
Questions for the Vendors:
- Check out their background and references
- Length of time in business
- Discuss their options /collection /packages
- Time plan for the day
- Payment terms and their terms & conditions
- Are prices inclusive of vat & all taxes
- Establish if they can work within your budget
- How do they like to communicate – ensure it works for you
- Will they hold the date provisionally for you
Take your time making the final decision on the vendors for your wedding as these people play a big part in your special day.Consider holding the date provisionally with your preferred vendors it will give you breathing time. If a vendor refuses to hold a date provisionally for 5 – 7 days I would suggest forgetting about them as you shouldn’t be put under pressure and need to take time to make your final choices.
Appoint Your Vendors:
Check if there is any room for negotiation on the price and or any complimentary add on’s they will provide.
While not all vendors in Ireland provide contracts ensure to get a confirmation in writing from them. You can even draw up your own confirmation & have them sign it. Pay your booking deposit & ensure to get a receipt.
Establish timelines for all vendors as to when you need to finalize details /orders with them. And diary it for yourself accordingly. Determine their on the day schedule including arrival time , length of time to set up and finishing time.
